Billing Release Notes May 24, 2018

Kareo continues to enhance the customer experience by releasing new features, making enhancements, squashing bugs, and delivering fresh documentation. Here's an update of the recent product improvements we've made with Kareo Billing, so you can easily stay up to date on what's new!

View Notes/Follow-Up Date on Unpaid Insurance Claims Report

The enhancement will help billers quickly view the last three notes added to a claim and the follow-up date when available on the Unpaid Insurance Claims report. 

Hovering over Notes will expose the last three notes with a cap of 200 characters per note. If the note is longer than 200 characters, click on the procedure code in blue to open the Edit Claim screen to see the full note.

The report will print or save as PDF with the notes. Notes will not export to Excel.

To run the report:

  1. Click Reports > Accounts Receivable > Unpaid Insurance Claims.
  2. Click Refresh if customizations are not needed. Click Customize to define filters.
  3. Hover over Notes to see the note(s) for the claim.
    • NOTE: This is not a clickable link.
  1. If a follow-up date was set for the claim, the date will show under the Billing Dates column.

Example PDF with notes:

  • The note(s) will be populated under the corresponding section.

To hide the notes when printing or saving as PDF:

  1. Click Reports > Accounts Receivable > Unpaid Insurance Claims.
  2. Click Customize.
  3. Select No in the Show Notes? drop-down.
  4. Click Ok.

New Encounter Form Template

The new encounter form template (One Page Four Column Grid) will print procedures in four columns with a footer containing a return schedule box, space for notes, and space for a physician's signature.


Send Patient Statements Enhancements

The enhanced Encounter > Send Patient Statements > Show Patients > Send Patient Statements - Confirm Patient List window allows the user to search and sort to quickly select the desired patient(s) to receive a patient statement.

The new Look For field allows user to search by the patient's name or collection category.

Users can click on the following column headers to sort: patient name, last statement, patient balance, unapplied balance, and collection category.

A Collection Category column has been added so the user can easily determine whether the patient should receive a patient statement.


On-Demand Send Patient Statement

A new on-demand patient statements button has been added to the patient's account tab to allow the user to quickly send or email a patient statement to just one patient.

  1. Click Patients > Find Patient.
  2. Look for and open the patient record.
  3. Click Account.
  4. The new Patient Statement button will be available when Charges Detail or Transactions Details is selected in the Show drop-down.

Note: if the patient has no balance, the send only option will be unavailable.


  1. Click Send Only.
  2. Click Yes on the warning pop-up to accept the transaction fee to continue.
  1. A confirmation pop-up will appear once the statement is sent.
  2. The patient statement will be logged in the patient's account under Recent Statements and the claim status will change to Pending Patient.

If Patient Portal and Patient Payment is setup, the following options will show: View, Email and Send, Send Only, Email Only

Note: if the patient has no balance, the all options except for View will be unavailable.


Collect Patient Payment

When clicking Collect Patient Payment from the Edit Patient or Appointment Detail screen, the Collect Payment Screen will open in the user's default browser.


Bug Fixes

  • Fixed an issue where reprinting a claim from the patient's account tab is generating an unhandled exception
  • Fixed an issue where users were unable to access Enrollments, Saved Reports, New Message, View Message or User Accounts
