Clinical Release Notes August 3, 2016

On Wednesday, August 3, 2016, your Kareo EHR account was upgraded to the latest version. This release includes two enhancements to further improve our providers' Superbill creation and Referral workflows. 

Send Clinical Note with Referral

Providers now have the ability to attach the patient's signed clinical encounter note (optional) along with the patient's Summary of Care when sending patient information to a referring or receiving provider. This ensures Kareo providers can easily and quickly send all of the most pertinent patient information to a referring or receiving provider, aiding in a better transition of care for the patient.

Click "View" next to a signed note for the clinical encounter note you would like to send to a referring or receiving provider.

  • Select "Receiving" if the patient has been referred to you and you are sharing patient progress with the referring provider, or "Transferring" if you are referring the patient to another provider.
  • Select "Send Referral by" and select either "Direct Message" or "eFax" depending on which communication method you would like to use.

In this example, we've selected "Direct Message." 

  • Select the checkbox next to "Encounter note (optional)" to send the latest patient encounter note to provider along with patient's Summary of Care. 
  • Attaching the Summary of Care is mandatory. The Summary of Care is a government-defined standard for exchanging pertinent patient data during transitions of care. You can select which information in the Summary of Care you'd like to be included in your transmission by selecting or deselecting checkboxes next to the Summary of Care section. 
  • Select "Send Message" once you're done with your selections.

  • Type in the recipient's Direct Address into the "To" field or search for the recipient in the directory by selecting "Find in Directory." 
  • Notice that the message has 3 attachments: the patient's Summary of Care in XML and XSL formats to enable import of patient data discretely into the recipient's EHR, and a PDF of the patient's encounter note (if selected in previous step). 
  • Select "Send" and all 3 attachments will be sent to the recipient electronically.

Use a similar process to send a patient encounter note and Summary of Care via "eFax" by selecting "Send Referral by" > "eFax."

  • First fill out all the pertinent demographic information including recipient name or practice, recipient fax number, recipient specialty, your fax number, and a message to the recipient.

  • Select the checkbox next to "Encounter note (optional)" to send the latest patient encounter note to a provider along with patient's Summary of Care. 
  • Select "Send eFax" when ready.

You can also print or download a PDF package of the patient's encounter note and Summary of Care.

  • Select "Print" to print and manually fax the patient's data to the recipient.
  • Select "Download" to download and send the patient's data via thumb drive or another secure messaging program outside of the Kareo EHR.

Kareo EHR keeps track of the Referrals sent using Direct Message, eFax, Print, and Download functions under the Clinical menu > Referrals.  EHR RN 8-3-16 14.png

Same-as-Last-Time (SALT) Superbill

Providers now have the ability to copy diagnoses and charges from a patient's previous Superbill to the current Superbill, make any necessary changes, and send the Superbill to Kareo Billing. This drastically improves Superbill submission efficiency for providers with similar patient diagnoses and charges between patient visits, like counselors, physical therapists, and chiropractors. 

In the Kareo EHR Superbill, there is now a new field labeled "SALT Superbill."  EHR RN 8-3-16 10.png
Click on the drop-down and choose the Superbill you want to copy forward based on the Date of Service and Note Type associated with the previous Superbill displayed. In this example, the provider is copying diagnoses and charges from a previous Physical Therapy Interim Visit with the patient on 07/06/2016.  EHR RN 8-3-16 11.png
Confirm by clicking "OK." Note that by copying diagnoses and charges from a previous Superbill, any diagnoses or charges that were previously entered into the Superbill will be overridden.  EHR RN 8-3-16 12.png
