Set Appointment Reminder Messages

Appointment Reminder Messages are part of the Patient Communications function and are sent to patients via email and text message to remind them of an upcoming appointment. Patients are prompted to confirm the appointment from within the message, which updates the appointment status in Kareo to Confirmed in the Dashboard and Calendar. You can set the number of days before an appointment that this reminder is sent, as well as select the option to send an additional notice if the patient has not confirmed.

Note: In order for a patient to receive patient communications:

  • Automated patient communication preferences must be set on the Profile tab of the patient's Demographics page.
  • Messages are sent to the email address and home and mobile phone numbers entered on the Profile tab of the patient's Demographics page.

Access Patient Communications

  • Hover over the Platform icon and click on Patient Communications. The Patient Communications page opens.


Set Appointment Reminders

  1. Click the Appointment Reminder card under the Before the visit section. The Appointment Reminders settings open.
  2. Click the drop-down arrow to select the number of days prior to an appointment (from 1–6) to send the reminder. By default, the reminder is set to send 4 days before the appointment.
  3. Click the drop-down arrow and choose to send or don't send an additional reminder if the patient hasn't confirmed their appointment.
  4. If you selected to send an additional reminder, click the drop-down and choose the number of days (from 1–3) prior to the appointment that you want the second notice to be sent.
  5. Click email or text message to preview the message.
  6. By default, Appointment Reminders are turned on. Click Turn off to deactivate this notice, if desired. Click Turn on to reactivate.
  7. Click Save when finished.
