Navigate the Calendar

Through the Kareo calendar, you can easily and efficiently manage patient appointments for the providers in your practice. Note that in order to view and schedule staff or equipment, they must be added first under Calendar Settings.

Access the Calendar

Hover over the Platform icon in the upper left of the window and click Calendar. The Calendar opens.


Navigate the Calendar

  1. Click to view the calendar by Month, Week, or Day. The daily calendar opens by default.
  2. Click Calendar Settings to manage calendar time increments, visit reasons, rooms, office hours, and time off and holidays.
  3. Click Run Eligibility Check for All to check insurance eligibility for all patients scheduled that day.
  4. Click Print to print the Daily Schedule, Encounter Forms, or Patient Balances.
  5. Click the checkboxes on the left menu to filter calendar viewing options.
  6. When viewing other days and times, click Current Time to quickly jump to the current day and time.
  7. Click to navigate between days, weeks, or months (depending on the selected calendar view).
  8. Click on an appointment to view details. 
  9. A shaded box indicates a custom break time created for a provider through Calendar Settings.

Appointment Icons

  1. Circle with slash icon in red box indicates the patient has canceled or is a no-show.
  2. Check mark icon indicates the patient has checked out.
  3. Clipboard icon indicates the patient is in the office (arrived, ready, roomed).
  4. Repeat icon indicates a recurring appointment.
  5. Red box with clock surrounded by circular arrow icon indicates appointment is rescheduled.
  6. No icon indicates the patient has not yet arrived.
