Change Patient Appointment Status

The Kareo Agenda provides an efficient process for managing and tracking patients throughout the office visit after scheduling a patient appointment.

Navigate to the Agenda

Hover over the Platform icon in the upper left of the window and select Agenda. The Agenda opens.

Mark Patient as Arrived

When a patient arrives for an appointment, initiate the check-in process from the Agenda.

  1. Click the Scheduled tab on the Agenda. Patient appointments for the day that are not checked in displays.
  2. Click the patient's name to open the appointment card.
  3. Click More Options > Mark as Arrived. The appointment card is moved to the In Office tab and the status changes to Arrived.

Mark Patient as Ready

When a patient has been marked as Arrived and the front office check-in process is complete, change the appointment status to Mark as Ready.

  1. Click the In Office tab at the top of the Agenda. All patients scheduled for the day who have an in-office status displays.
  2. Click the patient name to open the appointment card.
  3. Click Mark as Ready. The patient appointment card closes and the appointment status changes to Waiting for Appt.

Room a Patient

Patients can be assigned to an exam room that has been added through the Calendar Settings.

  1. Click the In Office tab at the top of the Agenda. All patients scheduled for the day with an in-office status displays.
  2. Click the patient's name to open the appointment card.
  3. Click Pick a Room and select the appropriate exam room from the drop-down menu. The patient appointment card closes and the appointment status changes to Roomed with the room name displayed below.

Check Out a Patient

  1. Click the In Office tab at the top of the Agenda. All patients scheduled for the day with an in-office status displays.
  2. Click the patient's name to open the appointment card.
  3. Click Check Out. The appointment card closes and the patient appointment moves to the Finished tab with a status of Checked Out.

Mark a Patient Appointment as Rescheduled or No Show

  1. Click the Scheduled tab on the Agenda. Patient appointments for the day that are not checked in displays.
  2. Click the patient's name to open the appointment card.
  3. Click More Options > Mark as No Show or Mark as Rescheduled from the drop-down menu. The appointment moves to the Finished tab and the status changes to No Show or Rescheduled.
