Billing

Billing General Improvements

  • 2023 Annual Code Update: Kareo was updated with the new code sets that go into effect January 1, 2023.
    • Medicare Fee Schedule (RVU, GPCI, Locality and Conversion Factor)
    • CPT-4, HCPCS Level I and II
    Visit the AMA and CMS websites for more general information about the 2023 CPT Code Set, HCPCS, and& Fee Schedules.

Billing Resolved Issues

  • Fixed an issue where users did not receive reset password emails 
  • Fixed an issue where users experienced errors when opening reports 
  • Fixed an issue where Payment records were not being created for payments collected in the Platform 
  • Fixed an issue where patient statement balance reminders sent via text message were not delivered 
  • Fixed an issue where users experienced issues opening some windows (e.g., messages, payments, reports) 
  • Fixed an issue that was causing claims to reject with error, "A data element marked as excluded is present." 
  • Fixed an issue where some users could not access the Message Center 
  • Fixed an issue where the Card Number could not be entered when collecting a credit card patient payment 
  • Fixed an issue where inaccurate values displayed on the Billing Analytics report 

 


Clinical

Unsigned Notes Dashboard

The Unsigned Notes Dashboard provides System Administrators visibility into unsigned clinical notes in the practice. The dashboard displays all the unsigned clinical notes in the practice, broken down by provider or users, allowing System Administrators to monitor and proactively reach out to providers who need to complete and sign their notes.

Note:

  • The Unsigned Notes Dashboard is only accessible to users with a System Administrator role.
  • Non-clinical notes (e.g., Office Form, Memo to Record, etc.) are not included in the Unsigned Notes Dashboard. Individual providers and users can access Open Notes to view all of their open notes.
  • The data is current through the previous day due to nightly processing. Signed notes will be removed from the Unsigned Notes Dashboard the morning after the nightly data processing.
Navigate Unsigned Notes Dashboard
  1. Hover over the Reporting icon and click on Unsigned Notes. The Unsigned Notes page opens.
    Note: The Reporting icon is only accessible for users with a System Administrator role.
  2. Unsigned Notes Total: Displays the total number of unsigned clinical notes for all providers and users.
  3. Provider: Displays all providers or users with unsigned clinical notes. The list also includes deactivated providers and locked/deleted users. Click on a provider name to open the provider's Unsigned Notes Dashboard.
  4. Oldest Note: Displays the date of the oldest unsigned note for the provider.
  5. Unsigned Notes: Displays the provider's total unsigned clinical notes for active patients, inactive patients, and notes that requires the provider's co-signature.
  6. Refresh Report: Click to go back to the Unsigned Notes Dashboard.
    Note: The report data does not refresh in real time. The data is current through the previous day due to nightly processing.
  7. Additional Options: Hover over the option bar and click the more options icon to download the dashboard as an Image, CSV File, PDF File, or Excel File.

Navigate Provider Unsigned Notes Dashboard

The provider's Unsigned Notes Dashboard only includes clinical notes for active patients, inactive patients, and notes that requires the provider's co-signature. If necessary, each user can review Open Notes to view their unsigned clinical notes, view non-clinical notes (e.g., Office Form, Memo to Record, etc.), and open notes the provider have signed and requested a co-signature.
  1. Click a provider name. The provider's Unsigned Notes page opens.
  2. Provider Name: Displays the name of the selected provider.
  3. Unsigned Note Details: Displays the Patient Name, Visit Date, Status, and Note Type of the unsigned clinical note.
    • To sort by column, hover over a header and click the arrow to sort by ascending or descending.
  4. Pagination: By default, each page displays up to 25 unsigned clinical notes. Click the arrows to go navigate forward or back.
  5. Refresh Report: Click to go back to the Unsigned Notes Dashboard.
    Note: The report data does not refresh in real time. The data is current through the previous day due to nightly processing.
  6. Additional Options: Hover over the option bar and click the more options icon to download the dashboard as an Image, CSV File, or PDF File.

Clinical General Improvements

    • Pfizer-BioNTech COVID-19 Vaccine Bivalent Booster (5-11yr)
    • Pfizer-BioNTech COVID-19 Vaccine Bivalent Booster (12y up)
    • Moderna COVID Bivalent Boost(6y up)(PF)
    • COVID-19, mRNA, LNP-S, PF, 100 mcg/0.5 mL dose
    • COVID-19, mRNA, LNP-S, PF, 50 mcg/0.25 mL for booster dose
