Navigate the Messages Window

Kareo provides a messaging system that enables users within a practice to easily and securely send messages to one another, receive reports, and contact the Kareo Support Team. You can also choose to be notified via email every time a new message hits your inbox.

Access Messaging

A red circle with a number displays on the envelope icon when new messages are waiting in your inbox.

  1. Click the envelope icon in the top navigation bar. The Messages summary opens.

Navigate the Messages Summary Window 

  1. Click See All Messages to open your Messaging account page.
  2. Click anywhere on a message to open it.
  3. Unread messages display in blue. 
  4. Hover over a message and click Reply when it appears to send a response.
  5. Click New Message to initiate a new message to another user in the practice.
  6. Click the arrow on the right of New Message to send a post-visit survey to a patient.
  7. Click Send a message to billing support to reach Kareo Managed Billing Support.

Navigate Your Messages Account Page

  1. Messages Settings — enables the following message features:
    • Patient Portal: Check this option if you want messages from the Patient Portal to appear in your Inbox. (Requires subscription to Kareo's Clinical module.)
    • Notifications: Check this option if you want to receive email alerts every time someone messages you.
  2. Click on a tab to see messages in your Inbox, and messages you've Flagged, Sent, and Archived
  3. Click Contact Support to send a message to the Kareo Managed Billing Support Team.
  4. Click New Message to initiate a new message to another user in the practice.
  5. Click the arrow on the right of New Message to send a post-visit survey to a patient. (Kareo Marketing subscribers only)
  6. Click to Flag the message as important. Flagged messages display on the Agenda under Outstanding Items.
  7. Click the file box icon to Archive your message. Messages cannot be deleted, but archiving them removes them from your Inbox and saves them under the Archived tab. 
  8. Click on a message to read more and reply.
  9. Click to open any documents included in the message.
  10. If a patient is referenced, click the patient's name to open their record.
  11. Enter a reply to the message.
  12. Add Reference: Attach documents (up to 10MB in size) or reference patients in your reply​.
  13. Click the left and right arrows to navigate to additional pages of messages.
