Send Email to Patient or Patient Group

The Kareo Engage Message Center enables users to easily send and receive messages within the practice and communicate with patients through email or text. Messages can be emailed directly to individual or multiple patients. When more than one patient is selected to receive the message, the email is sent to each patient individually and the other recipients are undisclosed. 

Note: Do not include PHI as this method is non-secure. To include sensitive information, please use Patient Portal.

Available for Kareo Engage subscribers.

Create New Email

  1. Click the envelope icon. The messaging summary window opens.
  2. Click New Message. The New Message window opens.
  3. Click to select "Patient".
  4. Click to select send message by "Email".
  5. Click Next. The New Email to Patient window opens.

Compose New Email to Patient(s)

  1. Begin typing a patient's name and select it when displayed. Add additional patients as needed.
  2. Select who the message will be sent from:
    • Provider: Select a specific provider from the drop-down list.
    • Location: The location name auto-populates for single-location practices. If your practice has multiple locations, select the correct location from the drop-down menu.
  3. If desired, choose a pre-set template from the drop-down list. The selected template information auto-populates.
  4. If a template was not selected, enter the Subject and a message in the Body field.
  5. Click Preview Email to see how the message will appear to recipients.
  6. Click Send Email to send your message or click Edit to revise the message.

Compose New Email to Patient Group

  1. Click Patient Group and choose the group name from the drop-down list.
  2. Select who the message will be sent from:
    • Provider: Select a specific provider from the drop-down list.
    • Location: The location name auto-populates for single-location practices. If your practice has multiple locations, select the correct location from the drop-down menu.
  3. If desired, choose a pre-set template from the drop-down list. The selected template information auto-populates.
  4. If a template was not selected, enter the Subject and a message in the Body field.
  5. Schedule (displays only when sending a Template message to a Patient Group):
    • Send Immediately: Click to send the message right away.
    • Set Specific Date/Time: Click this option to select a future date and time to send the message. 
  6. Click Preview Email to see how the message will appear to recipients.
  7. Click Send Email to send your message or click Edit to revise the message.
