Enter ICD Diagnosis Codes

One section of the superbill is devoted to ICD diagnosis codes. If you already entered one or more ICD codes in the Assessment section of the note, you will see those ICD codes when you open the Superbill-Coding window. You may need to add or delete codes or change their order.

Note: Codes added or deleted in the superbill are not automatically reflected in the note. Be sure to apply any coding changes made in the superbill to the note. and must be manually changed. will not automatically reflect the same in the note; therefore, be sure to make the same changes in the note (or send a message to the appropriate person to do so).

Navigate to Superbill 

  1. Enter the first 2–3 letters of the patient's name in the top navigation bar search box.
  2. Click to select the patient from the auto-populated results. The patient's record opens to the Face Sheet
  3. Click Notes in the left menu. The Notes page opens.
  4. Click Open to the right of the appropriate note. The note opens.

  1. Click Superbill on the bottom taskbar. The Superbill - Coding window opens.

Enter ICD Diagnosis Codes

ICD codes auto-import from the Assessment section of the note into the Diagnosis Code section of the superbill. Codes can be added, removed, or re-ordered, if needed. 

  1. Click in the Enter ICD-10 Code search box to view and select from a list of the patient's active problems. Or, search for a code by entering the first 3 characters of the code name or number and selecting from the list of results. 
  2. ICD-10 is set as the primary code by default. Click the drop-down to select ICD-9 codes or to map from ICD-9 to ICD-10.
  3. Click Browse to open the ICD Browser window and choose from your saved coding favorites, the patient's Dxs codes, or perform a general search.
  4. Click and drag the bar to adjust the Rank of a code, if necessary. If multiple diagnosis codes are entered, you may need to reorder them to satisfy insurance requirements and to properly map E&M and CPT/HCPCS codes to their associated ICD codes.
  5. Click Change to select a different extension for any ICD-10 code with a 7th character.
  6. ICD-9 codes are not required and will not automatically map from ICD-10 codes. 
  7. Click X to remove a code from the superbill.

  • During the patient encounter, or anytime before submitting the charges for reimbursement, the superbill can be accessed any number of times to make changes by re-opening the encounter note and clicking Superbill on the bottom taskbar. When complete, indicate it is ready for review. See Set the Superbill Status.
  • Any diagnosis codes added to the encounter note after a superbill has been created will be added to the ongoing superbill.
  • The superbill is available to others with billing privileges until it is submitted. For example, a biller can access it, review it, and if necessary, suggest changes. The provider can then make the appropriate changes and set the status to "Ready to Submit". The biller can then submit the bill according to the office procedures and set the status of the super bill to "Submit."
