How to Transfer the Balance from Patient to Insurance

3 areas: Find Claim Window, Edit Claim Window, or Within a Payment (if applicable)

Find Claim Window

  1. Encounters > Track Claim Status > Search Encounter > Right-click service line/ claim.
  2. Select Transfer Balance (if transferring entire balance) or Transfer Partial Balance to Patient Responsibility (if transferring a portion of the balance).
  3. *If grayed out, may need to reopen claim or claim may be voided.
  4. Window at the bottom will appear.
  5. For Transfer Balance > Select Bill Patient for Change Status > Apply.

For Transfer Partial Balance to Patient Responsibility  > Enter Transfer Amount > Apply.

Edit Claim Window

  1. Encounters > Track Claim Status > Search and Open Encounter > Action button at the bottom.
  2. Repeat steps 2-4 above.

Edit Payment

  1. Encounters > Find Payments > Search and Open Payment > Apply Now > Ensure patient and dos is highlighted in grey.
  2. Use More+ button at the bottom right.
  3. Select 3- Transfer Partial Balance to Patient Responsibility or 4-Transfer Balance or *If grayed out, may need to reopen claim or claim may be settled.
  4. For Transfer Balance > Select Patient in the bottom drop-down menu > Post. 

For Transfer Partial Balance to Patient Responsibility  > Enter Amount in white space > Post.

  1. After changes are made, click Save at the bottom left.
