New Charge

Kareo Charge Capture offers quick and easy electronic charge entry available for users with the System Administrator or Biller role. Providers who wish to enter new charges must also be assigned one of these roles.

Access Charges

  • Hover over the Billing icon and select Charges. The Charges page opens.

New Charge

  1. Click +New Charge in the upper right of the page. The New Charge page opens.
  2. Enter the patient's name in the Find Patient field and select it from the auto-populated results. 
  1. Review the patient demographics and enter information.
    1. When the patient has multiple active cases, click the > arrow to select the next case. Click the < arrow to select the previous case.
    2. Click to select the Rendering Provider and Location from the drop-down menus. The Place of Service populates based on the selected location.
      • To indicate this charge is for a telehealth visit, click to select Telehealth from the Encounter Mode drop-down menu.
        Note: The Encounter Mode feature is available for Kareo Telehealth subscribers but coming soon for all customers.
    3. If applicable, click Show More to select a Referring Provider, Supervising Provider, or Scheduling Provider.
    4. Under the Add Procedure section, enter the Date of Service dates, Procedure, Modifiers, Unit Charge, Units, and ICD code(s). Then, click +Add to Charge. A green Procedure Added confirmation appears and the procedure displays below in the Charge Summary section.

      • To add more procedures, repeat this step as necessary.
    5. Once all procedures have been added, review the Charge Summary section and make any necessary changes.
      • To reorder the procedure lines in the list, click the arrows under the first column.
      • To update a procedure line, click Edit under the Modify column. Make the appropriate changes in the Update Procedure Line section then click Update Procedure Line when finished.
      • To duplicate the Date of Service dates and ICD code(s) in the Add Procedure section to add another procedure, click Copy under the Modify column. Enter the necessary information then click +Add to Charge when finished.
      • To remove a procedure line, click Delete under the Modify column.
    6. Under the Notes for Biller section, enter any notes related to the charge if applicable.
  2. When finished, do the following as necessary. 
    • To perform a code validation, click Check Codes. A green No Issues Found notification appears at the top of the page when charges are validated
      • If a red error alert displays at the top of the page, click Edit on the right of the procedure line in the Charge Summary section and update the procedure line. Once updated, click Check Codes to confirm the error is fixed.
    • To send the charge to the biller, click Send to Biller. A green confirmation message displays and the charge appears in the Charges window under Pending Approval.
