Kareo PM and EHR Integration: Insurance

Here are some helpful notes about how insurance information translates between Kareo EHR and Kareo Practice Management.

First, to avoid duplicates, we highly recommend only creating and editing insurances in Kareo Practice Management.

Kareo Practice Management: New Insurance Company

Creating a new insurance company record in Kareo Practice Management does not create a new insurance in Kareo EHR.

Editing an existing insurance company record in Kareo Practice Management does not update the insurance in Kareo EHR.

Kareo Practice Management: New Insurance Plan

Creating a new insurance plan record in Kareo PM will create a new insurance plan in Kareo EHR.

The insurance name in the Insurance drop-down menu in Kareo EHR is formatted as follows: 

  • PM Company Name – PM Plan Name – PM Plan Street Address, ZIP

For example, if you create a new insurance plan record in Kareo PM with the following:

  • Insurance Company: Aetna
  • Plan Name: Aetna HMO
  • Address: 111 Academy Drive, Irvine, CA 92617

The insurance name in Kareo EHR will appear like this: 

  • “Aetna – Aetna HMO – 111 Academy Drive, 92617“

Editing an existing insurance plan record in Kareo Practice Management will update the insurance in Kareo EHR.

Kareo EHR: Add Insurance

When adding a new insurance in Kareo EHR, the system will attempt to match the address to an existing insurance company record address in Kareo Practice Management.

If there is no match, a new insurance company record and a new insurance plan record will be created in Kareo Practice Management.

If there is a match, it will sync to the existing insurance company record, but create a new insurance plan record in Kareo Practice Management.

Editing an existing insurance in Kareo EHR will only update the insurance plan record in Kareo Practice Management.

The insurance company record in Kareo Practice Management will not be updated.

Kareo EHR: Secondary Insurance

The Secondary Insurance field that is listed within the Kareo EHR does not integrate over to the Kareo PM at this time.

Secondary Insurance information will need to be entered into Kareo EHR and Kareo PM manually.
