Anesthesia Services

If you are billing for anesthesia services, there are specific settings that must first be configured within Kareo so that the charges will be correctly calculated on the encounter.

Important Note:

  • If a new anesthesia-related procedure code was created in Kareo, the TOS must be set to 7-Anesthesia for the charges to calculate correctly.


Configure Contract and Fees

  1. Click Settings > Contracts and Fees. The Contract and Fee window opens.
  2. Click the Standard Fees or  Contract Rates tab to see a list of schedules for your practice.
  3. Use the Status Filter if necessary to sort the list.
  4. Once you find the schedule, click on the name to open it.
  1. Click Modify Time Increment. This option is only available when an anesthesia code is added to the fee schedule or contract rate. 
  2. Enter the default time increment in minutes. By default, the value is set to 15 minutes.
    Note: Refer to CPT Coding Book for proper Anesthesia minutes.
  3. Enter the base unit. By default, the value is set to 1.
  4. Click Save & Submit.

Configure Encounter For Billing

  1. Create a new encounter and populate the required fields in the Patient and Dates section. Then scroll to the Procedures section.
  2. If the Start Time, End Time, and Minutes column does not already appear on the Procedures grid, be sure to add it:
    1. Right-click anywhere on the Procedures grid and select Customize.
    2. Click on Minutes and drag it to the header row of the procedures grid. Repeat the step for Start Time and End Time.
  3. Enter the anesthesia code in Procedure.
    • The Units column will populate with the Base Units set in Contracts and Fees.
  4. Enter the Start Time and End Time. The system will automatically calculate the time in the Minutes column and update the correct Units.
    • Unit Calculation: Base Unit + (Value in Minutes column divided by Anesthesia Time Increment value).
  5. Continue with the encounter creation.
